Legal Secretary
Job Description
A busy law firm is seeking a Legal Secretary for a Class Action Litigation partner. Work hours are Monday through Friday from 8 a.m. to 5 p.m. with the opportunity for overtime.
Responsibilities:
- Manage attorney calendars, schedule meetings and deadlines, and coordinate closings and client appointments
- Prepare, proofread, and format legal documents, including contracts, closing documents, purchase agreements, leases, and other transaction documents
- Maintain well organized digital and physical files, organize transaction records, and open files in document management software
- Draft and process client engagement letters, billing statements, and internal reports
- Communicate professionally internally with other staff and externally with clients, title companies, opposing counsel, and other stakeholders managing large volume of emails, phone calls, and other communications
- Provide administrative support for business formation tasks (LLCs, corporations, nonprofits), state filings, and regulatory compliance
- Some drafting of basic legal documents such as deeds, TOD designations, and similar documents
- Handle e-filing of legal documents and correspondence in accordance with County auditors and recorders
- Support attorneys during closings, deal negotiations, and due diligence processes
- Position involves light tape dictation and typing, but this is not primary focus of responsibility
- Perform other related duties as assigned
Job Requirements
Qualifications:
- Must have a High School Diploma or GED; Associate’s or bachelor’s degree preferred
- Must have a minimum of 3 years’ experience as a legal secretary, preferably in real estate or corporate law
- Must be familiar with Ohio legal procedures and real estate closings
- Notary Public certification in Ohio is a plus
- Must be proficient in Microsoft Office Suite, Adobe Acrobat, and, ideally, ProLaw legal practice management software
- Must have the ability to perform general web browser technology required for Ohio Secretary of State Business filings, UCC filings, IRS filings, and filing with other jurisdictions
- Must have excellent verbal and written communication skills
- Must have the ability to prioritize and multi-task in a fast-paced environment
- Must be proficient with Microsoft, Adobe Pro, Court-Filing systems, PACER, etc., as well as, live dictation
- Must have a high level of discretion and professionalism in handling sensitive legal matters, while maintaining confidentiality
- Must have the ability to occasionally travel to Cleveland and other areas as needed
- The ability to maintain confidentiality, and to exercise discretion and good judgment is mandatory
