Legal Billing Specialist
Job Description
A law firm is seeking a Legal Billing Specialist who will be responsible for accurate and efficient preparation of attorney billing in accordance with the firm's billing policy and direction from the firm's legal personnel. You will work Monday through Friday from 8 a.m. to 4:30 p.m.
Job Duties:
- Compile and bill attorneys' hours to clients every month, timely and accurately
- Review and edit time entries to ensure all proper client guidelines, internal protocol, and firm guidelines are followed during billing and the e-Billing submission process
- Coordinate re-submission of invoices with any errors or rejections, apply retainer funds as directed by attorneys, and ensure corrective action is in place for future submissions
- Monthly review and follow up on WIP aging to endure that matters on hold meet firm policy or approval for hold
- Process write-offs following firm policy, create billing analyses as required
- Assist with matter and timekeeper setup on e-billing websites and with maintenance on e-billing formats
- Assist with the monthly billing cycle and assist with maintaining all levels of the firm's rate structure
- Respond to attorney and client billing requests and inquiries and assist with maintaining the company's Billing Procedures Manual including the writing of periodic updates
- Cross-train to serve as backup in the Accounting Department requiring general knowledge of each position within the department
- Assist with special projects as required
Job Requirements
Job Qualifications:
- Must have a bachelor’s degree in accounting or business, or equivalent professional experience
- Must have at least 3 years of billing/e-billing experience in a professional services environment; experience with Aderant/Expert a plus
- Strong MS Word and Excel skills and the desire for continual learning is required
- Must have the ability to analyze, critically review, and execute complex bills in a timely manner
- Must have excellent methodical and patient problem solving, organizational, interpersonal, and communication skills
- Must have the ability to anticipate work needs and follow through with minimum direction, as well as the ability to track and prioritize a variety of details
- Must be able to pay attention to detail, be accurate, able to work under pressure with shifting deadlines
- The ability to work independently as well as part of a team
- Must be able to lift a minimum of 20 pounds
- Must have a solid work history with no attendance issues
