Front Desk Receptionist
Job Description
A counseling facility is seeking a Front Desk Receptionist who will be responsible for greeting patients, scheduling appointments, verifying insurance coverage, and maintaining accurate medical records. Additionally, you will answer phones, handle patient check-ins, assist with billing and invoicing, and perform other general clerical duties. This is a part-time position working 12 to 32 hours each week; however, you must be flexible to work evenings and weekends.
Job Responsibilities:
- Greet clients, vendors, and visitors in a professional manner
- Handle inquiries and concerns via phone, email, and general correspondence, and route to appropriate personnel
- Assist clients with completing necessary forms and documentation
- Answer and screen incoming telephone calls and take accurate and thorough messages
- Check clients in and out of scheduled appointments, schedule any return or follow-up appointments, or any referrals
- Verify and update demographic, billing, third-party coverage information, and collect client paperwork as needed
- Make outgoing calls to remind clients of appointments and initiate procedures to locate missing information prior to the clients visit
- Scan documents from clients or providers and file in appropriate folders/charts
- Promptly handle triage emergency telephone calls based on office protocol
- Collect office visit fees and prior balances
- Assist with billing and/or direct client to appropriate billing personnel and fax, scan, file, and mail documentation
- Keep front, back areas tidy and orderly and reception area clean and calm
- Use discretion while working with sensitive information.
- Comfort distressed clients; this may range from simply fixing any appointment issues that may arise, or being the voice of comfort during times of extreme stress and emergency
- Perform other duties as directed
Job Requirements
Job Qualifications:
- Must have a High School Diploma or GED; Associate’s or Bachelor’s degree preferred
- Must have 3 employment references: 2 personal and 1 professional
- Must have solid time management skills with the ability to multi-task and prioritize work
- Must be able to pay a high attention to detail and have strong problem-solving skills
- Must have excellent written and verbal communication, organizational, and planning skills
- Must be proficient in MS Office
- Must have the ability to work efficiently in a busy environment and be availability to work flexible hours, including evenings and weekends
- Must have reliable transportation, proof of valid Ohio Driver's License, and proof of valid/current auto insurance
