Job Description

A financial management company is seeking an Assistant Office Manager to ensure the efficient functioning of the office by overseeing operations, supporting advisors, managing clients, and maintaining compliance and organization.  Work hours are Monday through Friday from 8 a.m. to 5 pm.

Job Responsibilities:

  • Oversee day-to-day transactions
  • Maintain both physical and digital filing systems
  • Schedule appointments and prepare for client meetings
  • Field calls and emails for client requests and reply to all emails accordingly
  • Prepare paperwork for new clients
  • Follow-up to be sure all requests have been completed
  • Ensure clients get all initial proper documentation via mail, email, or in person
  • Keep records organized and audit-ready
  • Follow rules for document retention, privacy, and confidentiality
  • Use and manage Redtail CRM for appointment notes and follow up appointments
  • Review transactions daily in Clientworks Software
  • Perform other duties as directed

 

Job Requirements

Job Qualifications:

  • Must have prior Administrative/Office experience
  • Must have strong interpersonal and client service skills with the ability to multi-task and prioritize tasks
  • Must be able to pay a high attention to detail and have strong problem-solving skills
  • Must have excellent written and verbal communication and organizational skills
  • Must be proficient using Microsoft Word and Excel
  • Must have the ability to keep records organized and follow rules for document retention, privacy, and confidentiality
