Administrative Assistant - Part-time
Job Description
A manufacturing and production company is seeking an Administrative Assistant to provide administrative support to Human Resources and Plant Management. This is a part-time position and work hours are Monday through Friday from 9:30 a.m. to 3 p.m.
Responsibilities:
- Provide exemplary customer service as well as effective and efficient administrative support to visitors, customers, vendors, suppliers, and team members
- Answer and direct incoming phone calls, monitor lobby, greet, and direct visitors and contractors
- Review, ensure proper completion and filing of required non-disclosure agreements, safety instructions with visitors, and provide proper PPE
- Work with data from a variety of sources and accurately prepare reports, presentations, correspondence, product manuals, various forms and tables
- Proofread and edit draft and final material for appropriate and consistent format, make changes to grammar, punctuation, or spelling, as needed
- Perform independent research and prepare information for special projects, as assigned
- Provide recommendations for changes to processes and procedures, accurately and efficiently scan files, certifications, and training information
- Oversee the upkeep of the facility, ensure the property is adequately maintained and meets aesthetic and cleanliness standards, and coordinate with vendors to complete routine and uncommon requests and needs
- Efficiently and effectively coordinate company meetings and events
- Accurately and efficiently coordinate with Human Resources on preparing on-boarding materials for new hires
- Perform other duties as assigned
Job Requirements
Qualifications:
- Must have a High School Diploma or GED, plus 2 years administrative office experience; or equivalent combination of education and experience
- Previous experience working in Human Resources is preferred
- Must have the ability to positively interact and work collaboratively with a diverse group of people at all levels of the organization
- Must be genuine with high ethical standards, values, personal integrity, honesty, and apply a large measure of common sense to a variety of situations
- Must be proficient using Microsoft Office, Teams, Word, Excel, Outlook, and SharePoint along with accurate data entry skills
- Must have the ability to maintain a high degree of accuracy and flexibility in a changing office environment, adjust schedule as needed during plant functions., and effectively multi-task
- Musts be able to exercise sound judgement and discretion in handling of proprietary and confidential information.
- The ability to work independently, with strong critical thinking skills, judgment, and keen attention to detail
- Must have exceptional prioritization, time management, and organizational skills
- Must be able to write routine reports and correspondence, accurately prepare and maintain records, files and reports
- Must have the ability to maintain confidentiality at all times
